1. Overview
VoiceQuote ("we", "us", or "our") operates myvoicequote.com. This policy explains what information we collect, how we use it, and your rights regarding that information. By using VoiceQuote, you agree to this policy.
2. Information We Collect
- Account information: your email address and password (or Google account details if you sign in with Google).
- Business profile: your business name, trade type, phone number, email, location, tax settings, hourly rates, and payment methods you enter during onboarding.
- Customer data: names, phone numbers, and email addresses of customers you add to invoices. You are responsible for having the right to store this information.
- Voice recordings: audio you record to generate invoices. Recordings are temporarily uploaded for transcription and then discarded — we do not store audio long-term.
- Invoice data: line items, totals, job summaries, and transcripts associated with invoices you create.
- Payment information: we do not store card numbers or banking details. Payments are processed by Stripe. ACH and Zelle details you enter in your profile are stored solely to display on your invoice PDFs.
- Usage data: standard server logs including IP address, browser type, and pages visited.
3. How We Use Your Information
- To create and deliver invoices on your behalf.
- To process payments via Stripe.
- To generate PDF invoices and send them by email or WhatsApp.
- To transcribe voice recordings using Deepgram and extract line items using AI.
- To authenticate your account and keep it secure.
- To send transactional emails (invoice confirmations, account notices) via Resend.
- To improve the service and diagnose technical issues.
We do not sell your data. We do not use your data for advertising.
4. Third-Party Services
We share data with the following third parties only as needed to operate the service:
- Supabase — database and authentication hosting.
- Deepgram — voice-to-text transcription of your recordings.
- MindStudio — AI processing to extract invoice line items from transcripts.
- Stripe — payment processing. Subject to Stripe's Privacy Policy.
- Resend — transactional email delivery.
5. Data Storage and Security
Your data is stored on Supabase infrastructure with row-level security policies ensuring you can only access your own records. We use HTTPS for all data in transit. We take reasonable precautions to protect your data but cannot guarantee absolute security.
6. Data Retention
We retain your account and invoice data for as long as your account is active. Voice recordings are deleted after transcription. You may request deletion of your account and associated data by emailing us at support@myvoicequote.com.
7. Your Customer's Data
When you add a customer to an invoice, their name, phone, and email are stored in your account. You are responsible for ensuring you have their consent to store and use this information to send them invoices.
8. Your Rights
You have the right to:
- Access the personal data we hold about you.
- Correct inaccurate data in your account settings.
- Request deletion of your account and data.
- Export your invoice data.

9. Cookies
We use cookies solely for authentication (session management). We do not use tracking or advertising cookies.
10. Changes to This Policy
We may update this policy from time to time. We will notify you of material changes by posting the new policy on this page with an updated date. Continued use of VoiceQuote after changes constitutes acceptance.
